BlueDoc is a Document Management System. BlueDoc is a powerful and easy to use tool for designing, storing, and controlling the documents in the electronic format.
Pros: This is a system that implements document management functions. First set of functions required are for inputting all kinds of documents into the system. This is from the hard disks of client machines. BlueDoc has a range of functions that make this easy. If the document is available only in paper format, it has scanning function built in too.
Creating and manipulating/arranging documents in a hierarchical directory structure is available. Create meaningful categories to define the document correctly as well as to help during retrieval, making the search more refined and specific. Storage database can be MS Access or SQL Server giving the system enterprise workload strength.
The document search functions allows you to build a query based on several criteria that may include full text search of well known document formats such as Word, Excel, Power Point, PDF, HTML and text etc. One could enforce security policies depending on which user group a particular user belongs, suitable access rights can be set while creating users in this client server system. Clients can be distributed over a network. Rights can be defined on a folder basis and user group rights as well as specific user rights defined. Document locking during an edit by any user is implemented too.
Workflows can be defined by creating tasks and assigning them to users. Graphic tools necessary for creating workflows are available. Inbox functions help with the workflow. Various versions are generated as a document goes through the workflow. History of revisions is available and can be viewed later.
Cons: No obvious problems were seen. However, what matters in such systems with realistic load on the system. Document search, retrieval etc would either scale appropriately or could saturate very fast giving rise to response time problems. This could not possible be tested without a large amount of documents present in the system. Thus performance of the search engine and that of the data base, particularly the transaction rate is the issues to watch out for. If they do then this certainly is a useful package.
Overall: 4 star category without doubt, assuming it performs alright under load.
